Heirloom & Bound ("Heirloom & Bound," "we," "us," or "our") creates custom storybooks based on family stories and information provided by our customers. Because the nature of our service involves personal family stories, we take the privacy of that information seriously.
This Privacy Policy explains what personal information we collect, how we use it, when we share it with service providers, and the choices that may be available to you.
By using our website or services, you acknowledge that you have read this Privacy Policy and understand the collection, use, and disclosure of information as described below.
1. Information We Collect
Information you provide to us
When you place an order, communicate with us, or otherwise use our services, we may collect information such as:

To create a custom book, we collect the information you choose to provide through our intake process. This may include:

names and other identifying details of people included in your story;

physical descriptions, such as hair color, skin tone, build, age, and similar characteristics; and

other information you voluntarily choose to include in your story.
Because family stories can involve many aspects of a person's life, information you voluntarily provide may sometimes include information considered sensitive under certain privacy laws, such as information relating to health, racial or ethnic background, religious beliefs, or children.
Please provide only information reasonably necessary for the story you would like us to create. Do not submit Social Security numbers, government identification numbers, financial account credentials, passwords, or other highly sensitive information that is not necessary to create your book.
We do not require or request photographs of the people depicted in your story.
Information collected through our website
When you visit our website, we and the service providers that support our website may automatically collect certain information, including:

We do not use the personal details contained in your family story to create advertising profiles, and we do not provide your family story to advertisers for targeted advertising.
3. How We Use Artificial Intelligence
We use artificial intelligence tools as part of the process of creating custom books. Currently, these include Anthropic's commercial API services for text generation and OpenAI's commercial API services for illustration generation.
This means that portions of the family stories, character descriptions, and other information you provide may be transmitted to these providers when necessary to generate your manuscript or illustrations.
We use the commercial API versions of these services rather than their consumer products. As of the date of this Privacy Policy, OpenAI and Anthropic state that inputs and outputs submitted through their commercial API services are not used to train their general AI models by default.
These providers may temporarily retain API inputs and outputs in accordance with their applicable business terms, data-retention practices, and legal or safety requirements. Their practices may change over time, and their processing of information is governed by their applicable terms and privacy documentation.

We do not sell your family's story to AI providers or authorize our AI providers to use your family's story for advertising.
4. How We Share Information
We may share personal information with service providers and other third parties as reasonably necessary to operate our business, provide our services, comply with law, and carry out the purposes described in this Privacy Policy.
These may include:
Shopify and payment providers. Our online store is powered by Shopify. Shopify and our payment providers process information as necessary to operate our store, process transactions, provide checkout and ecommerce functionality, and support our business.
Google. We use Google services for functions that may include our customer intake process, documents, manuscript review, file storage, and order-related communications.
Anthropic and OpenAI. We provide portions of story and character information to our AI service providers as described in Section 3 when necessary to create manuscripts and illustrations.
Lulu and fulfillment providers. We use Lulu as a print-on-demand and fulfillment provider. To produce and deliver your book, Lulu receives information necessary to fulfill the order, which may include the final book file, recipient name, shipping address, and other order and delivery information. Because the final book file contains the completed story and illustrations, personal information included in the finished book is necessarily contained in the file provided for printing.
Website, analytics, and advertising providers. We may use service providers that help us operate our website, understand how visitors use it, measure the effectiveness of our marketing, or advertise our products, as further described below.
We may also disclose information:

when you direct us or consent to a disclosure;

when reasonably necessary to comply with applicable law, court orders, subpoenas, or other valid legal processes;

to investigate or prevent fraud, security incidents, or other unlawful activity;

We do not sell your family story or the personal details contained in your book for money, and we do not provide the contents of your family story to advertisers for targeted advertising.
5. Our Relationship With Shopify
Our store is powered by Shopify, which collects and processes certain personal information about your access to and use of our store in order to provide its services to us and to you.
Depending on the Shopify features enabled on our store, Shopify may also process information about your interactions with our store in connection with your interactions with other merchants and with Shopify in order to provide features such as personalization, analytics, fraud prevention, and advertising services.
Information submitted through our store may be transmitted to Shopify and other service providers, including providers located in countries other than the country where you live.

6. Cookies, Analytics, and Advertising
Our website and service providers may use cookies, pixels, and similar technologies to operate the website, remember preferences, understand website usage, measure marketing performance, and, where enabled, provide advertising.
Some privacy laws define certain disclosures of online identifiers or website activity to advertising providers as a "sale," "sharing," or use for "targeted advertising," even when no money is exchanged.
Depending on where you live and how our website services are configured, you may have the right to opt out of certain uses or disclosures of your information for targeted advertising. You may exercise available choices through the privacy and data-sharing controls provided on our website.
Where required by applicable law, we honor recognized opt-out preference signals, such as Global Privacy Control, as applicable to the browser or device sending the signal.
These advertising practices relate to website and shopping activity. We do not provide family stories, character descriptions, manuscripts, illustrations, or other personal details submitted for the creation of your book to advertising providers for targeted advertising.
You may also unsubscribe from promotional emails using the unsubscribe link included in those communications. Even if you unsubscribe from marketing messages, we may continue to send non-promotional communications necessary to fulfill or support your orders.
7. Information About Other People
The nature of a custom family story means that customers may provide information about spouses, children, parents, grandparents, relatives, friends, or other people.
When you provide personal information about another person, you represent that you are permitted to provide that information to us and authorize us and our service providers to process it as reasonably necessary to create, produce, and deliver your book.

8. Children's Privacy
Our website and services are intended for adults purchasing custom books and are not directed to children.
We do not knowingly solicit or collect personal information directly from children. A purchasing adult may choose to provide information about a child as part of the family story or character information used to create a book.
The purchasing adult is responsible for providing information about children appropriately and for having the authority to provide that information for the creation of the book.
We do not knowingly sell or share the personal information contained in children's family stories for targeted advertising.
If you believe a child has provided personal information to us directly without appropriate authorization, please contact us at hello@heirloomandbound.com so that we can address the request.
9. How Long We Keep Information
We retain information for different periods depending on why we collected it.
We retain order, transaction, and business records for as long as reasonably necessary for accounting, tax, fraud prevention, dispute resolution, and other legitimate business or legal purposes.
We may retain the story, character descriptions, manuscripts, illustrations, and related book information you provide so that we can fulfill your order, provide customer support, maintain records of the book we created for you, and maintain continuity in future books for your family.
For example, retaining established character descriptions can allow a family member to have a consistent appearance across multiple books rather than requiring you to recreate those details for each order.
You may request deletion of the family-story and character information we maintain about you by contacting hello@heirloomandbound.com. Deleting this information may affect our ability to reproduce a previous book or maintain character and story consistency in future books.
We may retain information where reasonably necessary to comply with legal obligations, resolve disputes, prevent fraud or abuse, or enforce our agreements, even following a deletion request where permitted by law.
Our service providers retain information according to their own applicable agreements, privacy practices, and legal obligations. Information transmitted through AI APIs may be temporarily retained by those providers as described in Section 3.
10. Your Privacy Rights and Choices
Depending on where you live and subject to applicable law, you may have certain rights regarding your personal information. These rights are not absolute and may apply only in certain circumstances.
Depending on applicable law, your rights may include the right to:

We may need to verify your identity before completing a request. If your request relates to information another customer provided about you as part of a family story, please provide enough information for us to reasonably identify the relevant material.
Where permitted by applicable law, you may also designate an authorized agent to submit certain privacy requests on your behalf. We may request appropriate verification of the agent's authority and your identity before fulfilling the request.
We will not discriminate against you for exercising privacy rights available to you under applicable law.
We will respond to privacy requests within the time required by applicable law. In certain circumstances, applicable law may permit us to deny or limit a request.
If you have a complaint about how we handle your personal information, please contact us. Depending on where you live, you may also have the right to appeal our response or submit a complaint to an applicable privacy or data-protection authority.
